CONTRA BOREALIS DANCERS Minutes Meeting---April 25, 2006

1. Those present: Sue Cole, Sue Fenner, Jim Deininger, Alan and Barbara Braley, Colleen Herning and Marty Baldridge

2. Time, Date, Place of next meeting: The May board meeting will be the annual members meeting on May 20. We decided to not have a potluck before, since so few attended last year. We will have the meeting at the break in the dance and put out a serious plea for help. All board members who are in town are encouraged to come. (We know we will be missing a few.) Sue Cole suggested we send an e-mail plea and a US mail plea out to the dance list before the dance/meeting so folks can consider if they can help. No one was appointed or volunteered to do this. Alan will check our by-laws to see what officers we are required to have and what has to happen at the annual meeting.

The next regular board meeting is tentatively set for Tuesday September 19, 2006 Alaskaland 5:30 P.M.

3. Minutes: corrections? None noted.

4.Treasurers Check-in: Alan contacted Boy Scouts and they have no date for our use of camp this summer. He says that the swing dance on April 7 went well and we came out ahead. We lost about $20 on the April 15 dance.

5. Membership Check-in: Jim reports no new members for the past several months. We discussed the fact that with no dance camp this year, our membership numbers will probably drop. One idea was to raise the dance prices for non-members. We know we have a lot of student dancers and fewer older members. We don't want to raise the prices for the kids, as we feel that we offer our youth a safe, non-alcoholic, healthy, and fun! activity as a community service. For member outreach, do we want to do some sort of demo contra at the Solstice, the Fair or International Friendship Day? Do we want to have an e-mail notices list for non-members?

6. Newsletter Report: We still need a new newsletter person.

7. Dance master Check-in: Sue Fenner and Alan will share dance door duties for the May 5 dance. Sue has someone for the May 20 dance.

8. Webmaster tells all: John is not able to be here. As evidenced by our band mixup for the April 15 dance, all board members need to check the website for updates and errors and let John know if there need to be changes. Several of us checked it to see who was scheduled to play and didn't know that it did not contain current updated information.

9. Publicity Report: Barbara will have publicity deadlines soon for summer and hopes the schedule will appear soon.

10. Scheduler's Report: Colleen has arranged with Sarah Garland to do the summer and fall schedules. Marty cleared the following summer dates with Isabelle; June 2 , July 8 (note that this is the first Saturday since Friday was not available), and August 4 and 19. We decided that we don't want a dance on Sept. 1 (Friday of Labor Day weekend.) Marty will ask Isabelle if we can have dances on Sept. 16 and on Sept. 29. Alan will check with Barbara (who had to leave the meeting early) about the idea of a UAF Wood Center Ballroom dance hosted by Univ. Women's Association, who have sponsored us in the past.

11. Corporation Report: Jim noted that two long tables have been removed. We need to pick up and move any small tables needed for sound or caller carefully onto the floor and off again at the end of the evening. We need to get our info to Ken McFarland for the summer dance flyer ASAP. Marty will send him something. Barbara and Alan noticed big black marks on the dance floor before our dance on April 15, of which the Corporation apparently is already aware.

12. Student Rep Report: Neither Pat Webb nor Brad Krick were not able to be here.

13. Anything Else? Band mix-up on April 15: Colleen revised the schedule after she presented it to the board on Dec.20. She sent the updated version to bands, but not to the board or the webmaster. So Polar Drive was the updated band as far as they knew and Celtic Confusion was the band on the website and on the board's last schedule. Colleen was out of town when Betty called Barbara to see what was happening. Barbara called and e-mailed the board to see if anyone knew anything. All of our information said Celtic Confusion was the band. Polar Drive will be offered an extra dance in summer or fall schedules and our apologies. Adjourned at 6:29 PM.
