CONTRA BOREALIS DANCERS Board Meeting Minutes
October 24, 20061. Those present: Scott Luper, Alan and Barbara Braley, Jim Deininger, Sue Cole, Pat Webb, Marty Baldridge, and dancer Sunna Fesler.
2. Time, Date, Place of next meeting: 4th Tuesdays at the Hall will be our regular meeting time and place. The next one is Nov 28 at 5:30 PM.
3. Minutes: corrections? none
4.Treasurers Check-in: Alan has paid our Corporation dues and our CDSS dues. Jim sent our membership list to Isabelle for insurance purposes. Alan did a tally of our dance budget summary for 2005 and for 2006 so far. In 2005, we came out ahead by $187. So far for 2006, we are behind by $442. The largest loss was the Sept 22 English dance at minus $180. Four dances out of 14 so far this year came out ahead. Two of those were saved by memberships. It really helps when the bookkeeping at the door is accurate. Having an envelope for memberships and some sticky notes might help keep it straight.
5. Membership Check-in: Jim says we have 108 current members! That is more than double the number from our last meeting. The free dance policy when joining or renewing is working.
6. Newsletter Report: Lynn is not able to be here.
7. Dance master Check-in: Sue is not able to be here. Marty will call Sue to see if she has a person for the Halloween dance Friday. Marty will let Sue know that Jim Deininger will not be available to help at dances for a while. The dance master needs to stay and pay the band or make sure the door person can fill out the sheet and do it. With people signing up for memberships, it almost takes two people at the door. It helps Alan keep better records when memberships and numbers of dancers in each category are logged.
8. Webmaster tells all: John is not able to be here, but he has made updates to the webpage as needed.
9. Publicity Report: KUAC phone answering went well. Barbara will send an e-mail for the Halloween dance, and it is in other publicity as well. She mentioned again the problem of street shoes on the dance floor and the extra cleanup needed. Marty will make a poster about shoes.
10. Scheduler's Report: Colleen is not able to be here.
11. Corporation Report: The dance on Sept 30 went well, with 45 attending the meeting and 75 for the dance. Jim is not able to attend the Corporation meeting on Nov 14. Scott will go and Isabelle will do the note-taking.
12. Student Rep Report: Pat is here. We do have students at our dances, from both UAF and high schools. Pat will look for a club to sponsor a dance at Wood Center. Barbara will again try UWA (University Womens' Association) to sponsor one for Spring or Fall.
13. Special Events/ Dance Camp:
Summer dance camp 2007---Cynthia Steiner, Dick and Judie Gumm and Mike Walleri have expressed interest in working on dance camp. Alan has reserved Lost Lake for Labor Day weekend 2007 and will make a deposit after New Years. Alan and Scott will compare numbers after talking to the Boy Scouts.
Winter dance camp 2007---Both Barbara and Lynn suggest Chena Hot Springs. Barbara will check prices there. Feb is the suggested time. Scott checked out Lost Lake and got a ballpark number of $1000 for 50 people for 2 days.
14. Anything Else ? A Chinook school fund-raising dance was requested by dancer Sunna Fesler. She teaches 7th and 8th grade there. They are raising money for a trip to Boston. Lynn will go to Chinook and work with the kids on dancing. He will probably call the dance and Sunna plans to ask Frostfire to play. We agreed to treat it as a special event, not in our regular schedule. Sunna will collect at the door and do cleanup. We offer our publicity, website listing and e-mail reminder. They may have a bake sale or silent auction during the dance. Marty will check with Isabelle to reserve Friday Feb. 23.
Board members to Organize Cleanup: Oct 27 is Pat, Nov 3 is Barbara and Alan, Nov 18 is Marty, Dec 1 is Scott, We need some board member to volunteer for Dec 16.
