Contra Borealis Board Meeting
Minutes for February 4, 2002

1. Those present: Sue Cole, Scott Darter, Britton Kerin, Elaine Gross, Alan and Barbara Braley, Todd Paris, Gary Newman, Ken McFarland, and Marty Baldridge
2. Time, Date, Place of next meeting: Tues March 12, 2002, Alaskaland, 5:30 P.M.
3. Minutes: Corrections ? none
4. Treasurers Check-in: Alan needs numbers of new members from Stan to send the check for insurance to Isabelle, who wants the number every month.We have our EIN and have until 2-12-2002 to file forms 941 and 942 with the IRS.
5. Membership Check-in: Stan is not able to be here.
6. Webmaster tells all: Gary will send out an e-mail to remind folks of the next dance on Feb16 and the Feb 22 Callers' Delight. He will work with Elaine who needs a listing of Dance Camp North 2002 in the Dance Gypsy, which is now online. They want $150 for a web spot if they do it, $50 if we send them something web-ready. It is either $10 or free for a listing. Elaine will send Gary the listing for dance camp and Gary will add a link to our webpage and send it on to the Dance Gypsy.
7. Dance master Check-in: Jim is not able to be here.
8. Folk Dance Report: Marty reports that the next folk dance scheduled for Sat. Feb 16, 6:00-7:30 P.M. The rest of the folk dances for the semester are on March 16, and April 20, all on third Saturdays from 6-7:30. The Folk dance on Jan 19 was successful with 17 dancers, $65 collected, $15 paid to the kids in the folk dance band, and $50 given to Contra Borealis.
9.Special Events: Fourth Friday Dances: The Jan 25 Callers' Delight was a success, with many returning contra dancers. Another one is scheduled for Feb 22. We discussed the rates for bands and caller, with no final decision. We agreed that these extra dances should not lose money, should be open to any bands wishing to play, and have a limit on money spent on the callers and bands. We are trying to come to concensus on a top price to be split among the callers, rather than paying each one the full fee for the evening.At the Jan 25 dance we paid each caller the $30 whole evening rate. Since Scott donated the sound and Frostfire has only two members, we still came out ahead. March 22, 23,24 Event: Ken is working on the event for March. He has been talking to a group in Wash. D.C. called the Gig Meisters, who are all professional musicians. The schedule could be as follows: Friday eve contra at Alaskaland, all day at the Masonic Temple, workshops and evening dance, mixed swing ballroom and contra, Sunday at Wood Center with workshops and English tea dance. Budget items include $400 per person for the band X 3= $1200, $305 per person for the band airfare X3=$915, $45 for Friday hall use, $100 for Sat hall use, $70 for Fri sound, est. $300 for Sat-Sun sound, and caller fees. There was some discussion of whether we should also look for an out of town caller. From the $2650 of known expenses, we figured we would have a loss from the event, considering that it is during the last weekend of Spring Break. Ken and Elaine will work on the plan and get back to us via e-mail for a decision on whether to try the event. Dance Camp 2002: Elaine thinks that the price of camp will go up to something like $130 from the traditional $110 because dancers will come earlier on Sat and we will add an extra meal. Camp will run Sat, Sun, Mon this year, with the in town dance Friday eve. She has talked to a caterer about food, with a price of $6.75 per person per meal. Barbara saw Chris DuBois who inquired about doing food for Camp. He has done it the past couple years with less $ per meal and happy campers. Elaine will check with him.
Dance Camp 2003: Elaine is talking to Wild Asparagus for Dance Camp 2003 now. They want $600 each X 5= $3000, which is about $1000 more than Hillbillies. The price of Camp will go up for 2003.
10. Publicity Report: Barbara will check into the guest band participating in the Artists in the Schools program as a way to help fund the March event. That would involve the band extending a day to Monday March 25 since school is out for Spring Break on Friday.
11. Corporation Report: Lynn is not able to be here.
12. Student Rep Report: Britton has reserved Wood Center ballroom for Sunday March 24, from noon to 10 P.M., as part of the special event that Ken McFarland is planning .
13. Newsletter Report: Todd got a newsletter out last month and will send out a postcard reminder for the Feb 22 Callers' Delight. (He will get labels from Stan.)
14. Scheduler's Report: Co-schedulers Susie and Scott have nothing new to report.
15. Anything else? Ken was approved by the Noel Wien library for his historic dance display for Sept 2002.
