Contra Borealis Board Meeting

Minutes for May 9, 2002

Alaskaland Dance Hall 5:30 pm

1. Those present: Sue Cole, Alan and Barbara Braley, Stan Read, Elaine Gross, Lynn Basham, Gary Newman and Marty Baldridge

2. Time, Date, Place of next meeting: Potluck and Annual Meeting: Saturday May 18, 2002, Alaskaland, 6:00-8:00 P.M.

3. Minutes: Corrections ? none

4. Treasurer's Check-in: Alan says we are caught up on Hall rent through the first week of April. He will write NLCD a check for $50 tonight and leave it in the basket (for membership fee.) We need a paragraph explaining the activities, mission of CBD for the non-profit State and IRS paperwork.

5. Membership Check-in: Stan reports we have about 120 members.

6. Webmaster tells all: Gary says that he will update the webpage for the July 12 dance. He asked if we want to have our own domain name for the webpage. He will find out cost and if contraborealis.org is available.

7. Dance master Check-in: Jim is not able to be here.

8. Folk Dance Report: Marty says that the folk dance on April 20 had 7 dancers and $29 forwarded to Contra Borealis. Gary asked Marty to remind the folk dancers not to park in the sound system unloading spot.

9. Special Events: June 7 dance: The Fairbanks Folk Fest will add our June 7 dance with Celtic Confusion and Lynn to the Summer Folk Fest schedule in their publicity; Barbara will work with Trudy on it. The Folk Fest is Saturday June 8 noon-10 P.M. at Alaskaland with a session to follow at the Tanana Valley Sportsmans' Association.

  • Dance Camp 2002: Elaine had a Summer Dance Camp organizational meeting. The board approved the Camp rates of $135 for adults ($120 if by July 1), $75 for teens, $45 for 6-12yr olds. The fourth Hillbilly may be David Kahn. We will charge the significant others coming with the band and caller for Camp by a reduction in their final payment. Anchorage dancers will pay part of airfare for Hillbillies. They have a Thursday Aug 29 dance scheduled. Mary Mitchell will do the food for Camp; her contract is for $3500. A Sound system list has been sent to the 3 interested parties; deadline for bids is May 15. Next dance camp meeting is May 20 at 5:30 PM Geist Road Alaska Coffee Roasters.

    10. Publicity Report: Barbara says the Hafla on May 4 had lots of fun with about 60 attendees, tons of food, and solo and ensemble dancing.

    11. Corporation Report: Lynn states that John Hanchett is still working on the lease with the Borough. Sue brought a copy of the Draft Lease and went over the changes. Our rate will go up and we will have to buy the fuel oil to heat the Hall. (We will be able to take advantage of the borough's bulk rate for fuel oil.) We will have a 4-year lease. The Appreciation dance will be eliminated. Use of the Hall by non-dance groups is still under discussion. Repairs to the porch and adding a side entry roof still need to be done.

    12. Student Rep Report: Britton is not able to be here. CBD use of Wood Center was discussed. Sue will forward e-mails from Doug Schamel and Britton regarding the use of Wood Center Ballroom to Charley Basham to see if she can resolve what the requirements are. Wood Center Ballroom will not be available through Nov. due to use by the UAF Music Dept.

    13. Newsletter Report: Todd is not able to be here. For the next newsletter, we would like a listing of the CDSS website. (The online Dance Gypsy lists our 2002 summer dance camp.)

    14. Scheduler's Report: Co-schedulers Susie and Scott are not able to be here. The Ballroom folks wanted our July 19 date for a Golden Days dance, so we traded dates. Our dance will be Friday July 12 with Frostfire and Barbara calling.

    15. Anything else? Gary asked for and got the board OK to purchase the Bob McQuillan video "Paid to Eat Ice Cream." It is an inspirational video about a New England contra hero.

    We are still looking for a person to buy sodas and bring to the Hall for sales during dances.
