Contra Borealis Board Meeting
Minutes for September 1, 1999

1. Those present at the Wood Center: Steve Wilson, Ken McFarland, Sue Cole, Gary Newman, Marty Baldridge, Kathy Walling, Kathy Gingrich, Barbara Braley, Lynn & Charlie Basham, Suzi Fenner, Stan Read, Dennis Rogers.
2. Time, Date, & place of next meeting: Oct 14, @5:30 @the Hall.
3. Liability Insurance: Table to October meeting - ask Isabelle if we can give thme a Number rather than actual names because we are not a stable group, possibly add the cost to the membership. Fee is $2.45 per member/year.
4. The board: Dennis & Mike Wallendorf want out. Have a head honcho for cleanup at the dances.? NO, they are paid - we still want volunteers if possible.
5. Membership: guess is 250.
6. 1999-2000 Dance Schedule: 9/3, 9/18 are set. Kathy Gingrich drafted a letter to send out to the bands. 10/1, 10/15 thru 10/17 is the Chena Hot Springs Weekend. 11/5, 11/20, 12/3 and 12/18 are the dates. Kathy will send e-mail to everyone and will not do a face to face meeting this time. Mary Devlin may be here this Spring and could call a dance, also Brian DeMarcos.
**Put in the newsletter a request to see if anyone could donate mileage to get people up from Anchorage.
7. Dancemistress: Holly already has 9/3 set up.
8. Special Events: CHS weekend Friday 10/15 thru Sunday 10/17. Need to clarify where the 10/15 dance will be held - at the Wood Center? Laura Me Smith, Rex Blazer and Anita Anderson. Susan Delisa is helping. Kathy has a contract with a new person who has just taken over Chen Hot Springs - need to put down a deposit of $480. Would they be charging for the extra floor? 20 x 40 floor, 60 - 80 people.
9. Publicity report: Barbara just needs the dates to do the publicity. We need flyers, especially for this Friday.
10. Corporation Report: Mike Wallendorf is retiring - we need a replacement. Meeting is next week (see notes).
11. Federation Report: Todd Paris for rep?
12. Student Rep: will be Suzi Fenner - need to check on dates for the Wood Center and bus idea for students.
13. Newsletter Report: One just out. Maybe switch to QuickMail instead of Postal Service Plus - they are closed at lunch and 5:00 pm. Dateline will deliver to QuickMail.
14. Webmaster: Gary Newman: Send e-mail minutes to Gary in the future ... He has a new, easier address for the website: http://www.alaskafolkmusic.org/cb.
15. Anything else? In November, talk about raising rates at the door. Also let CDSS know about our new address. What about setting up a voice mail for Contra Borealis, get rates.
Northern Lights Council od Dancers Corporation Meeting
September 13, 1999
Suggestion was passed to raise the annual Corporation membership fee to $50. This is because the Federation is being changed back to committee status and will only meet periodically.
Need to recruit building committee members to repair various aspects of the building. We are supposed to have a member from each group on the committee. Contact Richard Totten @488-2573 or totten@gci.net
October 19th is the next Corporation meeting.
The new sign for the front of the building should be completed soon to say Northern Lights Dance Center instead of Square Dance Center.
INSURANCE: WE HAVE TO GET THIS SETTLED, OR LOSE OUR MEMBERSHIP IN THE CORPORATION. Whatever insurance (either USDA @$2.45 a member or our own) we get has to be approved by the Borough Risk Management. Check with Gordon DePugh at Crosstown Insurance for the pros and cons of the different insurance types.
We need to check on the 5th Saturday night proceeds. It was reported by Isabelle at the meeting that we had not paid anything for these dances to the Corporation. When I checked with Isabelle later, it had previously agreed that if we took a loss, we would not have to pay anything other than the rent. She wants the Square and Round dancers to take the 5th Saturday night dances back, because they are not receiving money from any other group (including Ballroom). The idea was to raise money for the Federation through these dances.
We need to do an Alaskaland Appreciation dance for September and turn in the proceeds.
Check to see if any boiler money was donated. If not, we need to get this done.
Three people were at the meeting from the Contras - Steve Wilson, Gary Newman and Sue Cole
An Associate membership was proposed - many of the same opportunities, but cannot vote at the meetings. i.e.: a group in the North Pole Grange won't be dancing in the Hall, but they want to get the insurance. They would pay a higher rate to belong.
What is the definition of an Associate Member?
- no voting rights
- maybe pay a higher rent
- either have their own insurance or be covered under USDA
- don't have to abide by the lease agreement.
(It was facetiously said "Why don't we all become associates then?")
