Contra Borealis Board Meeting
Minutes for October 8, 2001

1. Those present: Scott Darter, Todd Paris, Stan Read, Alan Braley, Sue Cole, Jim Deininger, Elaine Gross, Lynn Basham, Britton Kerin, Ken McFarland, Marty Baldridge
2. Time, Date, Place of next meeting: Mon Nov 5, 2001, Alaskaland, 5:30 P.M.
3. Minutes: Corrections ? None
4.Treasurers Check-in: Alan reports that we have $5075 in checking, which will diminish a bit when we catch up on hall rent. Sue asked about investigating a savings account to gather interest. Alan has new insurance papers and needs to coordinate with the Ballroom group to eliminate paying for people twice. Dances are about breaking even.
5. Membership Check in: Stan says we mailed out 150 labels (includes couples) on the last mailing. We are probably down around 50 members or so. He will contact Elyse Guttenberg to coordinate the insurance forms with the Ballroom folks.
6. Webmaster tells all: Gary is not able to be here.
7. Dance master Check-in: Jim has people for the door for the next few dances.
8. Folk Dance Report: Folk dancers have dances scheduled on Oct 20, Nov 17 and Dec 15, from 6:00 PM to 7:30 PM., the one in Oct will feature live music.
9.Special Events : Elaine is gathering ideas for special events, thinking about a time in February for a winter dance camp. Additional places to investigate are Fish Creek B&B (near Skiland), North Pole Grange Hall and the Mason's Hall on 1st. Ken McFarland is considering about teaching a Community Schools dance session for Jan Feb, March 2002. (not to be sponsored by Contra Borealis, but could help us build memberships) He has some dances from the Revolution which might work into a patriotic costume dance, maybe be good for one of the Wood Center dances so students could be involved. Some interest was expressed in having a Halloween costume dance, the closest dance being Nov 2? Or possibly a Christmas costume dance at the Hall on Dec 15.
Friendship Day at Alaskaland Oct 20: Contra dancers will do a 15 min demo around 3:40 PM, which is a time change from the original 2:-2:30. Scott offered to play will see if Lia can join him and Lynn will call. We will need to contact 10-12 dancers.
10. Publicity Report: Barbara is not able to attend Monday meetings. She wanted us to remember that any time we change or add to the schedule that we need to inform Isabelle. Contra Borealis Dancers are scheduled to help answer phones to take KUAC pledges on Sunday Oct 14 from 4-7 PM. There was a suggestion to add the web address to the next posters.
11. Scheduler's Report: Susie will work on the schedule for spring in Dec. The board approved Ken McFarland to call some dances. He will possibly work with Lynn at some dances this fall, and work with Lynn independently to understand better what is expected from callers at dances. He requested to be put into the early Spring schedule as he has later spring commitments. Amy Steiner will be able to work with Lynn on calling, not more than one dance per evening.
12. Corporation Report: Thanks to Sue for helping do the audit for the Corporation. We need to alert any Contra Carpenter volunteers or we will be fund-raising to pay a contractor for the repairs to the Hall. The front porch foundation needs leveling and the roof repaired. The porch is sagging because the ground settled after the basement flooded several years ago. The roof is to be extended around the corner to the side porch. Gary Kersey, who was one of the original builders of the Hall, has agreed to be the supervisor. We need the names of volunteers by December, then they will have a couple of meetings to iron out all the details. The actual work will be done in late March or early April-hopefully within the estimated 3 days time.
13. Student Rep Report: Britton will check into dates for some more Wood Center dances. Lynn turned in the papers for the student club. Thanks to those who signed up as UAF affiliates and officers at the Sept 29 Wood Center dance.
14. Newsletter Report: Todd will start working on another newsletter to include a mail-back version of the dance survey, a call for a hall-fixing carpenter volunteer for next spring, volunteers for the dance demo for Friendship Day at Alaskaland, a word about the combined Nov 30 dance at the Hall to celebrate its 20th anniversary, and the semi-annual Cleanup Day at the Hall on Dec 1, 9AM to noon.
15. Dance Camp North: Stan has reserved the Lost Lake camp for Labor Day weekend for next year's dance camp, in-town dance Fri Aug 30, Camp Sat Aug 31, Sun Sept 1 and Mon Sept 2. He reminded us we need a new Grand Pooh Bah for camp and Elaine Gross volunteered to help, although she will be out of town some this summer and cannot head it up. Stan will still do registration. Elaine is checking into bands. Since Wild Asparagus cannot come she is looking into Hillbilllies from Mars, Spare Parts, Rodney Miller Band, Popcorn Behavior, and maybe Clayfoot Strutters. On the list of possible callers are Tom Hines and Lisa Greenleaf.
16. Survey Ideas: We heard a few of the survey ideas. Sue has them and will compile them.
17. Anything Else ? Sue needs help cleaning up at the end of dances. She proposed a rotating schedule for board members to be in charge of cleanup, so she won't always be the one to do it. Lynn volunteered for 10/20, Stan for 11/2, and Sue for 11/7. Where to put the original corporation papers ? Right now Sue has them in a notebook which she and Marty put together from boxes of papers.
