Contra Borealis Board Meeting

Minutes for October 14, 1999

1. Those present: Steve Wilson, Sue Cole, Gary Newman, Kathy Gingrich, Lynn and Charley Basham.

2. Time, Date, Place of next meeting: November 4th @5:30 at the Wood Center.

3. Liability Insurance: Report, decide, move on: Go ahead and pay this week so it’s done. $2.45 per member. It is a combination of two insurances for the dancers and the building. We came to a consensus to pay it after Stan draws up a cleaned up membership list to work from and turn in. We have to do this to maintain our status quo at the dance hall or lose our membership. We discussed possibly raising the dues $5.00 to cover the cost. The dues (membership) have not been raised in a long time.

4. Treasurer’s Report: see attached report. Dennis’s address is <dmrharper@hotmail.com>. Dennis will be happy to help through Winter Dance Camp, but will not commit beyond that and is out of town at this time. We need a new person for this job and soon. Todd Paris???

5. Membership: Stan is out of town.

6. Webmaster: could put the minutes on a mass e-mail, or on the website or both, possibly also the newsletter and more schedule info - also the dues increase proposal. Good job Gary!

7. Dance Mistress check-in: okay for now.

Special Events: Chena Hot Springs Weekend: There are currently 48 people signed up. We are committed to pay for 60 people for the food, so will try to talk it up at the dance Friday. One couple had an emergency surgery and can’t go. We discussed this and decided that being that the person knew about it in advance and just forgot to tell us, we would offer a partial refund until we see how our costs go - to see if someone fills their spot. Another problem is that CHS is under new management, and has raised some of the prices on the rooms after we already gave people a price. We will have to work this out at the weekend. Could the leftover food go to a shelter? There’s also a possibility that people could come for just the day and not stay overnight - $45 for workshops, dinner and the dance.

George Marshall could come up in 2001 for a winter trip. (Webmaster note: this may be his Hawaiian dance, not in Fairbanks.)

Brian DeMarcos is coming Friday, February 3rd. The airfare for him was donated. We will pay him $50 for caller’s fees.

9. Publicity Report: Everything is going smoothly so far - good job, Barbara!

10. Corporation Report: The next one is Oct 19th @ 6:00 pm. The annual meeting was 9/13/99, see attached notes. Main things to get settled are the insurance and were there any proceeds from the 5th Saturday dances that we did? The Federation never received any money from us. Also we need to turn in money for the Alaskaland Appreciation dance from September - net proceeds; and contribute towards the boiler repairs - none of the dance organizations have donated funds for this. We need a new Rep for this. Mike W is bowing out.

11. Federation Report: The Federation is being relegated to committee status from now on, so we no longer need a rep for this.

12. Student Rep: Suzy Fenner will be taking over this, but will be unable to attend board meetings. She will call or e-mail people to keep in touch.

13. Newsletter: What about making it one sheet to cut down on costs? It also could be posted on the website at : http://www.alaskafolkmusic.org/cb and email notifications can be sent out when posted. Gary and Suzy will work on this.

14. Anything else? We need to make a payment towards the boiler repairs. KUAC volunteers needed for Oct 21st 4 - 7 pm or Sat the 22nd from 12-3.
